Dear Early Adopter Showcase Registrant,

We are looking forward to your participation in the Early Adopters Showcase next week, July 30-31, 2024! Below are a few logistical details about the meeting.

​

​

MEETING ATTIRE

 

Attire for the Early Adopters Showcase on the following days is as follows:

â–º Tuesday, July 30 is a business casual

â–º Wednesday, July 31 is business attire

 

Please note: Attendees who have signed up for the NASA Goddard Space Flight Center tour during pre-registration are advised to wear comfortable business casual attire as there may be portions of the tour with extensive standing/walking. Due to safety regulations, open-toed shoes are not allowed.

WEATHER

 

Washington, DC, is typically hot and humid in late July. The average temperature ranges from the high 80s to low to mid-90s during the day and low 70s in the evenings. Light clothing is suggested to keep you cool with a light jacket for layering during the evenings. You may also want to pack a small umbrella for the occasional afternoon and evening showers.

 

The Yotel keeps the meeting room temperatures at 70 degrees, so a light, long-sleeved shirt or light sweater might be useful while attending the sessions at the Yotel.

REGISTRATION CHECK-IN

 

Registration for the meeting will open at 12:30 p.m. on Tuesday, July 30, in the Grand Hub East & West pre-function space. Please stop by the registration desk to pick up your meeting badge and registration packet.

GENERAL SESSION

 

Opening remarks for the meeting will begin at 2:00 p.m. on Tuesday, July 30, in the Grand Hub East & West meeting rooms with concluding remarks ending at 5:15 p.m. On Wednesday, July 31, opening remarks will begin at 9:00 a.m. with the meeting concluding with the Awards Celebration at 4:15 p.m. at NASA Headquarters.

 

Power strips will be available in the meeting room so attendees can charge laptops and cell phones. Meeting attendees are responsible for securing their own electronic devices.

 

Please note outside food and beverages (including coffee) are prohibited in the meeting room.

NASA GODDARD SPACE FLIGHT CENTER (GSFC) TOUR

 

Bus transportation to NASA GSFC on Tuesday, July 30 will be provided. Attendees who have signed up for the tour during pre-registration should meet in the lobby area of the Yotel by 7:45 a.m. to be ready to start boarding the bus no later than 7:50 a.m. The bus will depart from the Yotel at 8:00 a.m. to arrive at NASA GSFC by 8:45 a.m.

 

The bus will depart NASA GSFC at 12:00 p.m. and return to the Yotel at 12:45 p.m., after which attendees will proceed to the Grand Hub East & West pre-function area to check in at the meeting registration desk and pick up a meeting badge and registration packet.

LUNCH

 

Lunch will be served (for prepaid attendees) at 12:45 p.m. on July 30 and at 12:30 p.m. on July 31 in the general session meeting room. Please check the back of your meeting badge, which will indicate the days you have purchased lunch.

 

The Yotel prohibits outside food and beverages (including coffee) in the meeting room.

POSTER SESSION AND AWARDS CELEBRATION

 

The poster session and Awards Celebration will be held at NASA Headquarters, located at 300 Hidden Figures Way, SW, Washington, DC 20024. The poster session will begin at 2:00 p.m. with the Awards Celebration starting immediately afterward at 3:30 p.m. and ending at 4:15 p.m.

 

Attendees who signed up to ride the bus to NASA Headquarters and back to the Yotel should meet in the lobby area of the Yotel by 1:15 p.m. to be ready to start boarding the bus no later than 1:20 p.m. The bus will depart from the Yotel at 1:30 p.m. and arrive at NASA Headquarters by 1:45 p.m. At the conclusion of the Awards Celebration, the bus will depart from NASA Headquarters at 4:15 p.m. and return to the Yotel by 4:30 p.m.

 

Attendees who plan to drive to NASA Headquarters can find directions from the Yotel to NASA Headquarters here. If you do not have a NASA badge, you will have to park at one of the nearby parking garages. The nearest public garage is beside Federal Center SW Metro station. Parking lots nearby can be found using Google Maps for locations and hourly rates. There is limited metered street parking available.

POSTER PRESENTERS

 

Poster presenters should provide a printed 22’ x 28’ poster to Angela Clark-Williams or Monica Washington at the meeting registration desk (located in the Grand Hub pre-function area) by Wednesday, July 31. The meeting staff will position your poster on a 22” x 28” foam poster board and handle transporting and setting your poster at NASA Headquarters prior to your arrival for your presentation session.

 

There will be two poster presentation sessions. The first session will be from 2:00 to 2:40 p.m., and the second session will be from 2:50 to 3:30 p.m.

 

Posters should be preprinted before arriving at the meeting. Nearby printing services are available at the FedEx Office Print & Ship Center, located at 400 New Jersey Avenue, NW 20001, a one-minute walk from the Yotel.

NO-HOST GATHERINGS

 

Monday, July 29 – Meet and Greet

A no-host meet-and-greet has been arranged for Monday, July 29, at 6:30 p.m. at the Junction Bistro, Bar & Bakery Capitol Hill at 238 Massachusetts Avenue, NE, Washington DC.

​

The Junction Bistro is an American bistro, bar, and bakery that supports local farms. The bistro is located approximately 0.5 miles from the YOTEL. When you arrive at Junction Bistro, inform the hostess that you are with the NASA group.

 

Tuesday, July 30 – Dinner Gathering

On the second day of the showcase, attendees have the option to attend an evening gathering at 6:30 pm at Clyde’s of Gallery Place located at 707 7th St NW, Washington DC. Clydes is located approximately 0.8 miles from the YOTEL. When you arrive inform the hostess that you are with the NASA group.

 

Wednesday, July 31 – Morning Jolt

A reservation has been made for attendees to gather for coffee and conversations on Wednesday, July 31, from 8:00 a.m. to 8:45 a.m. at The Ministry at 600 New Jersey Avenue, NE, Washington DC. The Ministry is within a five-minute walk (0.2 miles) from the YOTEL.
